Job Summary:

The Banquet Coordinator & Setup is responsible for overseeing the planning, coordination, and execution of banquet events, ensuring all setups, service arrangements, and logistics are in place to create exceptional guest experiences. This position also involves managing the event space setup, ensuring that all tables, chairs, linens, and decor are arranged according to client specifications, and working closely with staff to ensure smooth event operations.

Key Responsibilities:

Banquet Coordination:

  • Coordinate and communicate with clients to understand their event needs, including layout, menu, timing, and special requests.
  • Act as the main point of contact for all banquet-related inquiries, providing excellent customer service and maintaining strong client relationships.
  • Manage the timeline for each event, ensuring that setup, service, and breakdown occur as planned.
  • Organize event schedules, from pre-event meetings through to the final breakdown.
  • Ensure that all event details are communicated clearly to staff, kitchen, and management team.
  • Troubleshoot and resolve any issues or challenges that arise during the event to ensure guest satisfaction.
  • Ensure that safety and health regulations are followed throughout the event.
  • Oversee the cleaning and resetting of banquet areas post-event.

Event Setup & Preparation:

  • Set up banquet and event spaces, including arranging tables, chairs, linens, decor, and AV equipment according to event specifications.
  • Ensure all equipment (e.g., microphones, lighting, projectors, etc.) is in working order and ready for use.
  • Set up event signage.
  • Ensure all spaces are clean, well-maintained, and prepared before guests arrive.

Post-Event Duties:

  • Event breakdown, ensuring that all items are properly stored and the event space is cleaned and reset for future use.
  • Review event success with clients and follow up on feedback to improve future events.
  • Assist in organizing and storing supplies and inventory to maintain a well-stocked event setup area.

Skills & Qualifications:

  • Previous experience in event coordination, banquet services, or hospitality preferred.
  • Strong organizational and multitasking skills.
  • Excellent communication skills with the ability to work effectively with clients, vendors, and team members.
  • Ability to handle high-pressure situations and resolve conflicts quickly and efficiently.
  • Basic knowledge of food and beverage service and banquet setups.
  • Strong attention to detail and ability to manage multiple aspects of an event simultaneously.
  • Ability to work flexible hours, including evenings, weekends, and holidays.

Physical Requirements:

  • Ability to lift and move up to 50 pounds.
  • Ability to stand for long periods and walk or move around the event space.
  • Ability to bend, stoop, and lift heavy items during setup and breakdown.
