Job Description

Monday - Friday, 4 days in-person, 1 day remote

Under the supervision of the Administrative Manager, and in direct support of the Fellowship Program Director and Associate Program Director, the GME Administrator is responsible for providing the overall coordination and administrative support essential to the smooth and efficient operation of the Division of Newborn Medicine's Harvard Neonatal-Perinatal Fellowship Training Program. They will perform and coordinate various administrative functions that require in-depth knowledge of Division programs and services in accordance with division/Graduate Medical Education (GME) policies.

The principal duties and responsibilities of the position include, but are not limited to, the following:
  • Serve as liaison with Division faculty and staff, Boston Children's Hospital and affiliated hospital departments, 18 current fellows, elective rotators, potential applicants/candidates, and consultants for all aspects of the Program.
  • Support the Fellowship Program Director in implementing a systematic process for the virtual recruitment of Fellowship trainees.
  • Acts as a primary contact and resource for Fellowship Program trainees and as a liaison for the trainees/training program. Provides administrative support to trainees and as directed by the program director, including processing reimbursements. Informs trainees of policies, procedures and schedules.
  • Coordinates all aspects of onboarding and orientation for incoming Fellowship trainees. Ensures the timely input of documents related to licensing, visas, credentialing and moonlighting in accordance with regulatory requirements.
  • Collects and maintains required records and data for residents, fellows, faculty, and alumni. Maintains and ensures efficient utilization of GME databases including duty hours, evaluations, and personnel records in accordance with department/GME requirements. Interprets and applies ACGME (Accreditation Council for Graduate Medical Education), other national accrediting agency/regulatory requirements and hospital policies to ensure compliance. Drafts reference and employment verification letters.
  • Event coordination for Fellowship meetings, conferences, and events. Process invoice payments for fellowship meetings and events. Responsible for taking and distributing meeting minutes.
  • Serve as an efficient and effective member of the Division of Newborn Medicine administrative team, providing typing, photocopying, telephone support, and other related duties as needed.
The successful candidate will be comfortable in a fast paced administrative work environment that encompasses diverse responsibilities; the ability to multi-task, take initiative, and change priorities quickly is essential. This individual must exercise good judgment, be able to make independent decisions, meet deadlines, and pay particular attention to detail. This individual should be flexible, demonstrate self-initiative, and possess the ability to work independently while effectively communicating with and participating as a member of a team.

To qualify, you must have:
  • Associate's degree required. Bachelor's degree strongly preferred.
  • Minimum two years of experience in an administrative position required, preferably in an academic, healthcare or research setting.
  • Experience and familiarity working with various software and online applications is required; in particular, considerable experience with all Microsoft applications (Word, Excel, Access, and PowerPoint) and Adobe Acrobat is a must; Adobe Photoshop is desirable.
