Job Summary

The Senior Associate Director of Undergraduate Admissions is part of the senior leadership team in the Undergraduate Admissions office and is charged with overseeing and leading one or more broad work areas of the office and the associated programs that support the recruitment, selection, and enrollment of entering undergraduate students at Caltech.

The Senior Associate Director of Access, Analytics and Recruitment Strategy is a pivotal role within Caltech's Undergraduate Admissions office. This position combines strategic enrollment management with a focus on diversity, equity, and inclusion (DEI), aligning with Caltech's mission to expand human knowledge and benefit society through research integrated with education. This role will collaborate closely with the Data Scientist for Enrollment Management to utilize data analytics in developing, supporting, and evaluating strategic recruitment, selection, and enrollment goals. The Senior Associate Director also serves as an Admissions Officer with responsibilities including representing the Institute both on and off campus, reading applicant files, and participating in the selection of the new class.

The position is responsible for the direction and executive oversight of a team of three, including a Senior Assistant Director, an Assistant Director, and an Admissions Counselor, and all of the activities and services provided by them in the Admissions office. The Senior Associate Director sets work priorities and standards for the team, and in conjunction with the senior management team, develops goals, policies and procedures for the Admissions office to help ensure that the College's strategic objectives are met. The position is responsible for the annual planning, implementation, and analysis of the outcomes of the team's responsibilities.

Required Hours: The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday - Friday. Weekend and evening work hours will be required. Travel will be required to visit assigned national territories. Regular hours may vary due to needs of the College or division.

Essential Job Duties
  • Collaborate with the Dean of Admissions, and other members of the senior leadership team to develop, support, and evaluate strategic enrollment goals and admissions office policies.
  • Collaborate with the Data Scientist to develop, support, and evaluate strategic enrollment goals and admissions office policies in collaboration with the senior leadership team.
  • Implement data-driven recruitment strategies to attract a diverse pool of academically qualified students, emphasizing diversity of thought and innovative potential.
  • Oversee and execute QuestBridge and manage relationships with key CBOs to enhance recruitment of historically underrepresented students in STEM.
  • Perform initial data analyses to identify trends and patterns for deeper, more complex analyses by the Data Scientist.
  • Provides leadership, strategy, and delivery of most of the office's shared data services; promotes a focus on continuously improving data management processes; designs and tests data integrity processes; and actively promotes data literacy to support the effective delivery of actionable solutions within the admissions office.

  • Translate data insights into actionable strategies in collaboration with Financial Aid, and the Yield and Marketing teams.
  • Contribute data-related expertise to research teams and working groups. Support the Data Scientist in liaising with faculty, the Student Success Analytics Working Group, and the Institutional Research Office.
  • Identify and implement improvements in data structure and integrity, proposing efficient methods for data extraction, transformation, storage, and usage.
  • Maintain data integrity and ensure compliance with FERPA and other relevant regulations. Document data processes and definitions to ensure consistency and clarity.
  • Assist in completing internal and external enrollment reporting requirements in collaboration with Caltech's Institutional Research Office.
  • Provide vision and guidance to all staff who manage Admissions programs related to diversity, equity, and access at Caltech.
  • Oversee the Institute's diversity enrollment strategies, including researching, training, collaborating, and providing and achieving strategic objectives around access, diversity, equity, and inclusion.
  • Represent the Undergraduate Admissions office with internal and external constituents, including faculty during the application review process.
  • Positively contribute to other duties and projects as assigned by the Data Scientist or other senior management team members.
  • Responsible for supervising, training, monitoring, coaching and evaluating direct reports as part of assuring a high performing team in the office. Maintain an efficient, collegial, and proactive work environment within the Admissions office and across the campus. Provide clear direction and oversight of each direct report's department activities.
  • Supervise the STARS liaison, the coordinator for Caltech Up Close and COSMOS student programs, and the coordinator for WiSTEM, focusing on improving diversity recruitment.
Basic Qualifications

Education/Licenses/Certificates:
  • Bachelor's degree is required
  • A valid driver's license is required or equivalent means of reliable transportation to off-site meetings and events.
Experience:
  • A minimum of 8 years of increasing leadership and responsibility in admissions and 5 years of leading recruitment systems, preferably in a higher education setting, is required.
Required Knowledge and Critical Skills:

The Senior Associate Director of Undergraduate Admissions must possess the knowledge, skills and abilities to be able to successfully perform the essential functions of the position or be able to demonstrate how the essential functions will be performed, with or without reasonable accommodation, using other skills and abilities not listed below.
  • Deploy professional skills in admissions, enrollment, selections processes, goal setting, in collaboration with colleagues to best promote the Institute's strategic interests.
  • Able to successfully work with faculty and other administrative officers where students are concerned.
  • Proven track record of the implementation of diversity and access work in higher education, with a particular focus on pipeline development, national trends, recruitment and enrollment of diverse populations, and how the implications of the latest research impact these areas.
  • Demonstrated effectiveness and clarity of verbal and written communication with excellent interpersonal communication and leadership skills to supervise, facilitate, motivate and inspire a diverse group of employees, volunteers and stakeholders from a wide variety of backgrounds. Must handle all activities and highly confidential information with patience, discretion, tact, and a keen eye for detail.
  • Provide exceptional customer service through timely and thoughtful responses to e-mails, phone calls and other modes of communication.
  • Able to operate computers with basic Microsoft Office software (such as Word, Excel, Outlook), associated professional software (such as Technolutions Slate, Internet research, menu-driven databases) and social media networking.
  • Demonstrated understanding of the use of technology in assessing and improving Admissions systems and processes to achieve annual goals and maintain confidentiality.
  • Able to handle multiple tasks, meet deadlines, and work both independently and as a collaborative member of the College in support of the College's strategic vision and the division's annual goals with a high standard of integrity and ethics.
  • Must have exceptional organizational and judgement skills to complete work with accuracy and attention to detail and to handle extensive reading.
Preferred Qualifications
  • Master's degree is preferred.
  • Supervisory experience at an academic institution is preferred.
