· At least 2 years in a manager/supervisory role
· At least 2 years working in a youth-services organization
· Bachelor's degree in the music, business, or other related field, or some combination of the above work experience and education.

This position is an in-person role - Mon- Fri, 9:30am- 6:00pm (the position is flexible in how to manage that schedule, so long as the Program Director is available in the early evening to be able to meet with and get to know the parents). What does the YAA Program Director do? This role ensures that youth ages 5-18 have access to a myriad of quality programs designed to stimulate growth and creativity while expressing themselves through music. Sounds cool, doesn't it?! And wait until you see these talented youth perform! WOW!
Under the supervision of the Chief Operating Officer, the YAA Program Director is responsible for managing the day-to-day operations of YAA. This includes planning, marketing, recruiting, implementing, supervising and evaluating YAA programs. Your primary focus would be on maintaining membership levels and supervising staff, driving effective service delivery while growing community involvement, managing budgetary constraints, and developing fundraising opportunities.

Program Management & Leadership
1. In keeping with the Formula for Impact objectives, oversees the daily operations all YAA programs, including private lessons, rock and jazz bands, theatre, dance, and visual arts.
2. Develop, implement, and evaluate program activities, ensuring they align with youth development goals and the mission of the organization.
3. Manage and coordinate events, services, performances, and summer/school break camps.
4. Lead and supervise a team of 5-10 music instructors, including hiring, training, and conducting regular check-ins.
5. Develop and implement new arts and music programs to expand offerings.
6. Use data analytics to monitor program participation, retention rates, and student progress, providing regular reports to leadership.
7. Plan and organize an annual calendar of events, including recitals, showcases, and performances.
8. Collaborate with Boys & Girls Clubs of Northwest San Diego’s leadership on long-term strategic planning for the growth and sustainability of the Youth Arts Academy.
9. Create and maintain detailed records of student progress, including achievements in performances, awards, and scholarships, for reporting and marketing purposes.
Budgeting & Resource Management
1. Manage the YAA budget, including developing annual budgets, providing financial projections, and attending monthly budget meetings with senior leadership.
2. Track monthly scholarships and ensure financial resources are utilized effectively.
3. Maintain an accurate inventory of all music equipment.
4. Procure new equipment when necessary (purchases and/or donations).
5. Decide when and how to sell unused or unnecessary equipment.
6. Work with Boys & Girls Clubs’ facilities team to ensure all classrooms, rehearsal spaces, and performance venues are properly maintained and equipped.
Marketing & Community Outreach
1. Increase program visibility through marketing strategies, including maintaining the YAA website and social media platforms (Facebook, Instagram, YouTube).
2. Create and distribute monthly newsletters and promotional materials.
3. Foster collaborations with local schools, music teachers, and community stakeholders to support and advance the YAA mission.
4. Represent the Youth Arts Academy at community events, festivals, and school fairs to increase visibility and recruit new students.
Student & Member Engagement
1. Coordinate communication with parents/guardians regarding student progress, upcoming events, and program policies.
2. Oversee the Student Advisory Board, guiding volunteers in organizing community events.
3. Promote and stimulate participation in YAA programs by engaging new members, conducting orientations, and fostering a supportive environment.
4. Utilize the designated registration system (TRAX Solutions) to manage billing, registrations, and reporting effectively and accurately.
Fundraising & Development
1. Plan, organize, and manage the annual fundraiser, "Commotion," and assist with other large-scale events.
2. Identify and build relationships with local businesses and corporations to secure sponsorships for events, scholarships, or specific programs within the Youth Arts Academy.
3. Collaborate with local businesses and community members to secure in-kind donations, such as equipment, supplies, or services, to reduce program costs and support special events.
4. Collaborate with grant writers to identify and apply for relevant funding opportunities.
Professional Development & Staff Training
1. Lead annual staff training and team-building sessions, promoting input from music instructors to enhance programming.
2. Research and recommend external workshops, webinars, or conferences that align with the staff’s professional growth and the goals of the Youth Arts Academy.
3. Conduct regular one-on-one feedback sessions with staff to support their teaching effectiveness, classroom management, and professional goals.
