ESSENTIAL DUTIES AND RESPONSIBILITIES: 

The Grants Manager is responsible for a portfolio of agreements and works in close collaboration with program staff to execute the full agreement lifecycle of both grants and contracts. The Grants Manager supports both the Bainum Family Foundation and the Children’s Equity Fund (CEF). Each organization is a separate legal entity, working alongside one another to bring about an equitable society where all children and families thrive.

The Grants Manager plays a critical role in the effective operations and execution of the Grants and Contracts Management (GCM) team by learning and optimizing the policies and procedures related to grant and contract generation and management and ensuring they alignment to best practices. They collaborate with stakeholders from each assigned program area to review and propose updates with the goal of ensuring consistency, quality, and timeliness in all aspects of processing and management. 

The position requires the development of a strong knowledge of the organization’s administrative policies and practices, contract and scope of work (SOW) writing, use of our grants management system (Fluxx), and a working knowledge of the program content arena for their assigned portfolio. The ideal candidate will have strong attention to detail, strong organizational and problem-solving skills, be customer-service oriented, and enjoy supporting the overall Mission and Vision of the organization. They will know when to act independently and when to ask clarifying questions to coordinate programmatic efforts. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

Grants & Contracts Management 

  • Coordinates with the Director of Grants Management and relevant program staff to provide full lifecycle grants and contract management, ensuring compliance with project specific requirements and organization-wide policies and procedures. 
  • Serves as a key point of contact for new and existing partner inquiries to coordinate all partner communication regarding agreements, technical assistance, and/or content feedback and support. This includes regularly participating in program team meetings to stay abreast of the implementation plans and other relevant context necessary to support the development and management of related agreements. 
  • Takes a leadership role in maintaining team accountability and responsibility to goals and initiatives as it relates to partner and consulting contracts, grant agreements, program-related investments, and memorandum of understandings (MOUs). 
  • Supports the evaluation, documentation, adoption, and consistent execution of Grants and Contracts Management policies and procedures, including content, timeliness, and compliance. 
  • Develops a strong working knowledge of Fluxx, our grants management system, to provide support to all stakeholders 
  • Participates actively in Grants and Contracts Management team meetings. 
  • Participates in and leads trainings as appropriate. 
  • Conducts research, as needed. 
  • Reviews reports/deliverables for completeness and coordinates programmatic analysis for subsequent payments. Ensures timely payments to partners and tracks expenditures and disbursements against initiative budgets. 
  • In collaboration with Finance team, leverages organizational tools and processes to track financial disbursements, monitors monthly budget actuals vs. forecast, and ensures compliance with internal Finance procedures. 
  • Maintains key related documentation in the appropriate files and systems for grants, contracts, MOUs and other relevant agreements. 
  • Supports in audit preparation as needed. 

Partner Due Diligence, Onboarding and Technical Assistance 

  • Works with program staff to develop grant and contract timelines for the fiscal year in alignment with budgets. 
  • Facilitates partner onboarding. 
  • Supports the partnership diligence and online application process. 
  • Partners with program team to draft SOW, budgets, and other agreement-related documents, and ensures compliance with policies and process requirements. 
  • Generates and manages agreements, modifications and closeouts, including providing guidance and support to internal and external partners. 

Knowledge Management, Learning and Evaluation 

  • Optimizes the functionality and utility of Fluxx in service to the organization’s funding, knowledge management, learning and evaluation, under the direction of the Director of Grants Management. 
  • Ensures data integrity and accuracy in Fluxx. 
  • Supports the GCM Team in developing and training the Board, Executive Team and Staff on Fluxx, GCM policy and processes, and other GCM topics. 

Collaboration and Leadership 

  • Facilitates transparency and cross-departmental communications among organization teams. 
  • Participates in and leads meetings to produce collaborative work products & improve processes. 
  • Participates actively in staff meetings, learning sessions, trainings, and cross-departmental teams. 
  • Serves on organization-wide working groups and taskforces. 
  • Maintains best practices in the field by attending workshops, webinars and conferences such as PEAK Grantmaking and other field-wide organizations. 

Qualifications

  • Bachelor’s degree in relevant field preferred. 
  • Three to five years of overall experience in grants management or operations in a non- profit, philanthropic, or education setting preferred. 
  • Must be able to read, write and speak the English language at a college level, perform mathematical calculations required for the position, and learn to interpret and comprehend company policies and procedures. 
  • Ability to complete projects accurately and within deadlines. 
  • Experience using a grants management system or other database system; Fluxx experience preferred.

WORK ENVIRONMENT: This position is designated as “Local ” and the employee will be expected to regularly commute to the Washington, D.C. Central Workplace location – or alternative meeting locations in the DMV – to attend in-person Bainum Family Foundation and Children’s Equity Fund monthly staff meetings and quarterly learning sessions, as well as other scheduled ad-hoc in-person meetings. The Foundation reserves the right to adopt different hybrid operating practices in the future that make sense for the evolution of our work and could require more in-person work. Telework requires logging onto your computer at home during work hours, responding to emails, and participating in video calls and meetings throughout the day; therefore, access to high-speed, reliable internet is crucial. The Foundation provides all required equipment and supplies to undertake the tasks of the job at home, including laptop, monitors, and other accessories, which are shipped to the employee’s home.
